Making Your Vision a Reality
With only three months on the clock, there was no time for a slow start. We brought a proven onboarding process, moved quickly, and began by listening.
We got the right stakeholders in a room, led a real discovery conversation instead of pitching a template, and assigned a single point of contact so the client always knew who to call.
Nearly four decades of experience gave us the structure to move with confidence. Just as importantly, it gave us the judgment to shape that structure around the client instead of asking them to adapt to ours. That meant we could begin developing the creative direction almost immediately.
“Mission: Beyond Limits” Design Strategy Delivered
That discovery conversation is where Mission: Beyond Limits came from, a theme built around where the company was headed, not simply what would look good on a stage. Once we had it, it showed up everywhere: save-the-dates, registration, the stage, the slides, the opening video, and the gifts waiting in guest rooms.
We brought in astronaut Kellie Gerardi to reinforce the idea of pushing past limits and created a custom drone show for the welcome reception. Not because either would look good in a highlight reel, but because they fit the story we were telling.
The theme became the thread connecting the entire attendee experience, from the first pre-meeting communication through the final evening of the program.
New Partnership, Lasting Success
Big meetings change shape as you plan them, and this one changed constantly. Attendance shifted. The budget moved. The creative direction evolved more than once. The difference is knowing what else moves when one thing does. When something shifted, we already knew what it touched: room sets, transportation, registration, production, communications, and the run of show. Nothing was handled in isolation, so a solution in one area did not create a new problem somewhere else.
The best example came on the night of the drone show, when temperatures dropped well below what anyone expected for Florida.
Weather is the one thing you cannot control, so we planned for it anyway. Heaters were already staged, a hot chocolate bar was ready to open, and the team knew exactly how to respond. The conditions changed, but the evening never lost momentum. Attendees stayed comfortable, the program continued, and the drone show remained one of the defining moments of the week.
That same preparation carried through every part of the meeting. We negotiated flexibility into the hotel agreement, tracked the budget as attendance and scope evolved, and maintained a clear view of the program through Cvent, the attendee app, and our project management tools.
After the meeting, we completed a full invoice review and hotel bill audit to confirm that the final charges reflected the contracted terms, negotiated concessions, and approved program decisions.
Results
Attendees left energized, and the evening events were among the most positively received elements of the program. The meeting was delivered on time and within the approved budget. The moments that could have gone sideways, from unexpected weather to shifting scope, never derailed the overall attendee experience.
Most importantly, the client felt understood. We had listened, learned how their team worked, and delivered a meeting that felt built for them rather than adapted from an existing formula.
Three months earlier, we were the new agency. By the end of the meeting, the client knew they had found the right partner.
