CHALLENGE

A Chicago based healthcare IT company turned to Bucom to assist in the planning and managing of their mid-year meeting.  As a mid-sized company new to planning company-wide meetings, they were used to handling all details in-house. They soon realized that with the scale of this meeting, it was time to upgrade and enlist the experts at Bucom. Bucom collaborated with the client’s team to create detailed plans and manage budgets. The company wanted to showcase their newly renovated home office in Chicago to the rest of the company.  Since Chicago is a desirable location in the summer, it was up to Bucom to move quickly and secure a venue in order to ensure the meeting was cost-effective while also showing off the client’s home city.

METHOD

Pre-planning and proactivity are key to Bucom’s success. Early on in the planning process, Bucom secured a hotel in the desired location, within budget, and with ideal meeting space and room availability to accommodate the group’s agenda. 

The client had very specific and firm ideas for their evening activities which Bucom was able to deliver due to our personal creativity and established industry connections. For the welcome reception, we transformed their office into a scene that fell in line with their meeting theme, facilitated a catered reception and activities. We also organized a Chicago Cubs game outing for more than 100 attendees, full amenities and logistics included.   

On site, Bucom was present to guide and direct attendees to on and off-site events, as well as to be the liaison between the client, hotel, transportation, and anything else needing attention.

RESULTS

The client was more than satisfied with the successful meeting that Bucom planned and executed. As a team, we were able to seamlessly bring everyone together, effectively manage a successful week of meetings focused on growth, and take full advantage of what a Chicago summer has to offer.  Bucom was able to enhance the overall experience, streamline logistics, and bring concepts to reality, while reducing program cost, producing cost savings, and creating a strong client relationship.
