CHALLENGE
With a four-month lead time, and the need to best maximize resources, a Fortune 500 company challenged Bucom International to find the most suitable venue that would create a memorable experience for 450 attendees at this important educational and motivational meeting. With ample hotel options, convenient air access and a multitude of entertainment choices, Las Vegas was selected as the perfect strategic and cost-effective venue to develop and create a meeting that would provide an engaging and motivating training environment in conjunction with exciting and innovative high energy social events.
METHOD
With a relentless focus on the corporation’s vision, Bucom first developed an overall branding and experiential marketing strategy for the meeting implementing an enhanced continuity of imagery and messaging beginning with registration through a customized site interfaced directly with the client’s internal travel department.
Beyond registration, Bucom’s seamless event management included air travel, hotel sourcing and negotiations, guest rooms and food and beverage management, meetings layout and management, hospitality lounge management, decor and entertainment, audiovisual creation and production, vendor management, marketing and meeting material delivery, mobile technology, transportation, activity and off-site venue management, VIP management and on-site management of the many details and changes throughout the meeting.
As the attendees arrived, they were immediately immersed in the meeting theme and quickly directed to their private satellite registration lounge where they received all meeting material, as well as instructions on the special interactive mobile app that included all up to the minute details on meeting locations, live polling, learning and testing polling and social interaction. As the week went on, creative and budget-friendly approaches were used to keep the attendees motivated and engaged – this varied from different furniture types and switch-ups on meeting sets to energizing breaks including fun and engaging team competitions, trivia and many opportunities to be visible on Instagram. The Bucom team worked closely with the culinary team to create fun and interesting food and beverage creations and presentations to suit every palate; we also designed and managed the individually themed evening events from the dine arounds to the awards dinners and the after-party!
RESULTS
Using the meeting app as a continual read on attendee engagement and involvement in the meeting, we were able to make adjustments when necessary and achieve a 97% overall attendee satisfaction with the learning goals being achieved as well. It was a true success and the team was energized to take on the challenges ahead of them.
